Managing your subscription

Most subscription management happens in the Stripe Billing Portal — a secure, hosted page operated by our payment processor. You reach it from Org Admin → Billing → Manage Subscription.

This page describes what's in the portal and how to use it. Only Org Admins can open the portal.

Opening the portal

From the app: Org Admin → Billing → Manage Subscription. A new tab opens to a Stripe-hosted page scoped to your organisation. The portal is the source of truth for the subscription — changes there flow back to MindWeaveBoard automatically.

You can leave the tab open or close it after each visit; there's no session to maintain.

Update payment method

Click Add payment method (or Replace card). The portal accepts:

  • Major credit and debit cards (Visa, Mastercard, American Express).
  • SEPA direct debit (for EU bank accounts).
  • Some local payment methods depending on country.

The new card replaces the old one for future charges. A small authentication charge may run to validate the card; it's refunded immediately.

Update billing details

The Billing information section lets you change:

  • Billing email — where invoices are sent. Defaults to the Org Admin's email; change to a billing@ mailbox if your finance team wants the receipts.
  • Billing address — used for VAT calculation.
  • Tax ID / VAT number — for business customers, enables reverse-charge VAT where applicable.
  • Company name — appears on the invoice.

Changes apply to the next invoice; past invoices remain as issued.

Change billing interval

In the Current subscription section, click Change next to the interval. Switch between Monthly and Yearly:

  • Monthly → Yearly — applies immediately as an upgrade. You're charged the yearly rate minus a credit for the unused portion of the current month.
  • Yearly → Monthly — applies at the next yearly renewal. You keep yearly pricing until then.

Change plan

Click Update plan to switch tiers. See Upgrading and downgrading for the full mechanics — upgrades immediate, downgrades at period end.

Download invoices

The Billing history section lists every past invoice with a Download link for the PDF. Invoices are kept indefinitely; you can come back years later to pull a copy if needed.

For accountants, the PDF includes the tax breakdown, your VAT number (if provided), our VAT registration, and the standard EU invoice fields.

Cancel subscription

Click Cancel plan. The portal explains exactly what will happen — your subscription is marked cancels at period end, you keep all paid features until the period ends, and at that point your plan drops to Personal automatically.

You can re-activate any time before the period ends from the same portal — the cancellation simply removes itself, no card re-entry needed.

What's NOT in the portal

  • Member management — that's in Org Admin → Members.
  • Plan feature comparison — see Plans and pricing.
  • Enterprise contract changes — your account contact, not the portal.
  • VAT refunds or invoice corrections — open a support ticket.
