FAQ — Boards and collaboration

How many people can edit a board at the same time?
The canvas supports dozens of simultaneous editors without noticeable slowdown. In practice we've seen workshops with 40+ people on the same board without issue. There's no hard cap; the limit you'd feel first is your meeting's coordination, not the technology.
How do I share a board with someone outside my organisation?
Use the Share dialog on the board → enter their email → pick a role. If they're not in your organisation, they become a board-level guest automatically — they see only this board, never the rest of your organisation. The full flow is on Sharing with guests.
I accidentally deleted a board. Can I recover it?
Yes, for 30 days after deletion. Org Admins can restore from Org Admin → Workspaces → Deleted boards. After 30 days, the board is permanently removed and cannot be recovered.
If you need recovery beyond 30 days, open a support ticket — for Advanced and Enterprise customers we have additional backups for the longer window.
Where did my board go? It's not on the dashboard.
Three possibilities:
- It was archived — check the workspace's archived list.
- It was moved to a different workspace — search by name from the global search bar.
- It was deleted — within 30 days, restore from Org Admin → Workspaces → Deleted boards.
If the board was never yours but you used to have access, ask the board's owner — they may have removed your access.
Can I export a board to PowerPoint or Google Slides?
Not as a native format — but export to PDF and import that into your slide tool. Frames in MindWeaveBoard become pages in the PDF, which slide tools generally treat as one slide each. See Exporting boards for the full export reference.
What happens to my board when I cancel my subscription?
Nothing immediately. Your data is retained for 90 days after cancellation in case you reactivate. After 90 days it's permanently deleted unless you've requested earlier deletion.
While downgraded to Personal, boards beyond the 3-board limit become read-only but stay visible. Upgrading restores write access.
Can I work offline?
Yes — the canvas keeps working without a network connection. Edits queue locally and sync when you're back online. For the technical specifics see Real-time editing.
You can't open a board you haven't visited before offline; you need at least one online session to cache it.
I see live cursors that aren't moving — what's that?
Idle teammates' cursors stop updating after a few seconds of inactivity. After a few minutes they drop out of the avatar strip entirely. If you want a real-time view of "who's actively engaged", watch the strip — colourful dots are active, faded dots are idle.
Can I undo someone else's changes?
You can undo your own changes with Cmd/Ctrl + Z — that rolls back your most recent action. You can't directly undo a teammate's change, but you can:
- Restore an older version of the board from History (Starter and above).
- Manually re-add or re-edit what's missing.
For collaborative undo to a known-good state, version history is the cleaner path.
How do I move a board between workspaces?
