Roles and permissions

MindWeaveBoard has three scopes for roles: organisation, workspace, and board. Most people have an organisation-level role plus zero or more workspace and board roles layered on top. This page is the reference.

Organisation roles

These apply to everything you do across the organisation.

Super Admin is a fourth, platform-level role reserved for MindWeaveBoard staff supporting the platform — it doesn't apply to customer-managed roles.

Workspace roles

These scope what you can do inside a single workspace.

Board roles

These apply per board, and override the workspace role on that specific board if more permissive.

How the three scopes compose

The most permissive role wins on any specific board. So:

  • Workspace Viewer + board Editor → Editor on that board.
  • Workspace Editor + board Viewer → Editor on that board (workspace role wins).
  • Workspace Admin + board Owner → Owner on that board, Admin on every other board in the workspace.

The Org Admin role grants full access to everything regardless of workspace/board roles. You can't accidentally lock an Org Admin out of a board.

Who can change roles

  • Org Admins can change anyone's organisation, workspace, and board roles.
  • Workspace Owners and Admins can change workspace roles for that workspace.
  • Board Owners can change board roles for that board.

Role changes apply immediately. The affected person sees the new permissions the next time they refresh.

Custom roles (Enterprise)

Enterprise plans can define custom roles with bespoke permission sets — e.g., "Audit Reader" who can view audit logs but not change anything, or "Workshop Facilitator" who can present and edit but cannot delete. These are created from Org Admin → Roles and apply at the organisation level.

What's audit-logged

Every role change is captured in the Activity log with the actor, the affected user, the old role, the new role, and the timestamp. Enterprise customers can export this for compliance review.
