Inviting members
Members are full participants in your organisation — they have a seat, can create boards in the workspaces they're in, and count toward your plan's user count. This page covers the invitation flow from the Org Admin perspective. For the inviting-from-a-board flow (guests, board collaborators) see Sharing with guests.
Open the Members page
From the app, click your avatar → Manage organisation → Members. The page lists every current member, their role, the workspaces they belong to, and their last-active date. The header shows your current member count against your plan limit.
Send an invitation
Click Invite member. The form asks for:
- Email — comma-separated for bulk invites (up to 10 at a time).
- Organisation role — Org Admin, Editor, or Viewer (see Roles and permissions).
- Default workspace — optional. Add the new hire to a specific workspace on accept; otherwise they land in the organisation's default workspace.
- Personal note — optional message included in the invitation email.
Click Send invitations. Each recipient gets an email with an Accept invitation button.
Invitation lifecycle
Once sent, the invitation has three states:
- Pending — invitation email delivered, not yet accepted. Visible in the Members page under Pending invitations with Resend and Cancel options.
- Accepted — recipient completed sign-up. They become a full member; their row moves to the main list.
- Expired — invitations expire after 72 hours. Resend to issue a fresh one.
TIP
The invitation link is single-use and scoped to the email it was sent to. Forwarding it to a different email won't work; if the recipient wants to use a different email, cancel the invitation and send a new one.
Inviting in bulk
For larger waves, paste a list of comma-separated or newline-separated emails into the Email field. They share the same default role and default workspace. Org Admins on Enterprise plans can also bulk-invite via CSV from Org Admin → Members → Import.
Tracking who joined when
Each member's row shows their join date and last-active date. The Activity log captures invitation events (sent, accepted, expired, cancelled) for audit purposes.
When someone leaves
To remove a member, click ⋯ → Remove from organisation on their row. They lose access immediately. Their authored boards transfer to the workspace Owner by default; you can pick a different inheritor before confirming.
Removing a member doesn't revoke external guest access they may have on boards in other organisations — those are their own accounts.
